How Sidekick Strategies Went from Solopreneur Chaos to Scalable Agency
George B. Thomas transformed his solo HubSpot consulting practice into a thriving agency with ZenPilot's Blueprint, turning a disorganized ClickUp workspace into the roadmap for future success.
George B. Thomas built his reputation as a HubSpot thought leader - certified trainer, podcast host, and conference speaker. But when his solo consulting practice quietly became an agency, he realized that personal brand and hustle couldn’t replace operational systems.
ZenPilot’s Blueprint gave Sidekick Strategies the structure to scale: a complete ClickUp workspace redesign, documented processes, and the confidence to stop managing projects out of email and Slack.
The Accidental Agency
George began his career as a designer and developer, attending HubSpot’s inbound conference in 2012. He became a HubSpot-certified trainer, founded the Hubcast podcast, and established himself as a thought leader in the HubSpot space.
By 2014, he launched a solo consulting practice offering HubSpot coaching. His personal brand and content marketing attracted more clients than he could handle alone, forcing him to hire contractors and family members.
Eventually, the realization hit: “I’m not really a solopreneur anymore… we’re literally sitting here running an agency.” George formalized Sidekick Strategies with multiple clients and team members.
When Flying by the Seat of Your Pants Gets Painful
As the client base grew to 5-12 monthly retainer clients, the lack of systems became unsustainable. George “would just ignore ClickUp and… live my project management out of my email and my Slack.” Without documented workflows, delegating to team members proved difficult. There was no clear tracking of completed work or systematic client updates.
“When you get into the five, six, eight, 10, 12 monthly retainer clients, flying by the seat of your pants becomes painful.”
The Blueprint: A Roadmap to Future Success
Knowing ZenPilot’s founders personally, George engaged their Blueprint service to restructure the ClickUp workspace. The process included complete workspace hierarchy design (spaces, folders, lists, views, dashboards), automation configuration, custom field setup, and full team training.
George chose to self-implement much of the Blueprint rather than having ZenPilot handle it entirely. He wanted to deeply understand the system he was building and teach his team properly.
Results: Momentum and Scalability
Client communication transformed: The team began sending weekly Friday recap emails detailing completed work and invited clients into designated ClickUp areas for real-time visibility. “We are able to stand firm on ‘this is the stuff that we’ve done,’” providing documentation if clients ever questioned service hours.
Time tracking adopted: Despite resistance from his solopreneur background, George implemented time tracking after explaining the “why” - informing future pricing decisions. “We got a ‘why’, we got alignment.”
The snowball effect: “Once you’ve created one space with the folders that you need… it’s a lot easier to keep it going. It’s almost like this snowball effect.”
George’s advice for agencies on the fence: “You’re going to get the value that you need. They’re going to get you over the hurdles.” He emphasized treating the engagement as a seed investment: “Once you see the initial value… everything else mentally will fall in line.”
“At that moment in time, in a place where we were ready to blow it up and rebuild, it was the roadmap to our future success.”
